Nash Estimating LLC, doing business through RoofingTakeoffs.com (“Roofing Takeoffs,” “we,” “us,” or “our”), respects the privacy and confidentiality of the businesses and individuals who contact us, submit project information, or purchase our roofing takeoff services.
This Privacy Policy explains what information we collect, how we use and disclose it, how long we retain it, and the choices available to you. It applies to RoofingTakeoffs.com, free pricing reviews, paid takeoff orders, email communications, project-file submissions, and related services.
Our services are intended for businesses and roofing contractors, not for personal, family, or household use.
1. Information we collect
Contact and business information
We may collect your name, business or company name, email address, telephone number, business address, job title or role, information included in your communications, and your communication and marketing preferences.
Project information
When you request a price review or order a takeoff, we may receive architectural drawings and plans; roofing specifications; addenda and plan revisions; project names and addresses; owner, architect, contractor, subcontractor, and supplier information contained in project documents; project communications and instructions; estimates, scopes, measurements, notes, and marked-up plans; and other information reasonably necessary to evaluate or perform the requested services.
Architectural plans may contain information belonging to another party. You are responsible for ensuring that you have the right and authority to provide those materials to us.
Order and payment information
When you purchase a service, we may receive the service and quantity ordered, amount paid, payment status, order date, billing and business information, Stripe transaction and Checkout identifiers, and records showing your acceptance of applicable terms.
Stripe processes payment-card and bank-payment information. We generally do not receive or store your complete card number, bank-account number, or payment security code.
Website and technical information
RoofingTakeoffs.com does not use analytics services, advertising pixels, behavioral tracking tools, or nonessential marketing cookies.
Our website host and security systems may automatically generate routine server logs, including an Internet Protocol address, browser or device information, requested pages, access times, referring pages, and security or technical-error information. We use this information only as reasonably necessary to operate, secure, maintain, and troubleshoot the website.
When you follow a link to Stripe, Dropbox, Google, or another third-party service, that provider may collect technical information and use cookies according to its own privacy policy.
2. How we collect information
We collect information directly from you when you email or call us; when you upload plans through our designated Dropbox file request; when you submit information during Stripe checkout; from project documents and communications provided by you; when we prepare, revise, or deliver takeoff materials; and automatically through routine website hosting and security logs.
We do not obtain personal information from data brokers or purchase marketing lists.
3. How we use information
We use information to respond to questions and pricing-review requests; review plans and establish project pricing and scope; confirm, administer, and fulfill orders; prepare roofing takeoffs and related deliverables; communicate about missing information, delivery schedules, corrections, and revisions; process and document payments; provide customer service; maintain business records; protect project confidentiality; prevent fraud and security threats; establish or defend legal rights; comply with applicable law; and send occasional marketing emails, subject to the choices below.
We do not use submitted project information to train artificial-intelligence systems. Roofing takeoffs are human-prepared services.
4. Project confidentiality
We treat submitted plans, specifications, project identities, locations, communications, pricing information, and takeoff materials as confidential project information.
We use project information to evaluate and price a requested service, perform and support an accepted order, communicate with you, maintain necessary business records, and protect legal rights.
We do not sell project information or disclose it publicly, subject to the limited anonymous marketing permission below. Necessary service-provider access is limited to what is reasonably required for the applicable service.
We do not disclose project plans to an outside takeoff subcontractor without the client’s prior written authorization. Additional confidentiality provisions appear in our Terms of Service.
5. Anonymous project images
For a paid order governed by our Terms of Service, we may use a nonidentifying visual excerpt or rendering derived from project drawings in our portfolio, website, social-media pages, or marketing.
Before public use, we must remove or obscure identifying and sensitive information, including client and project names, logos, addresses, geographic coordinates, title blocks, drawing identifiers, contact information, signatures, pricing, metadata, and other information that could reasonably identify the project or client.
We do not publish full plan sets. If a project could still reasonably be identified, we will obtain separate written permission before publication. This permission applies only to paid orders for which the applicable Terms were accepted, not to materials submitted solely for a free pricing review.
You may opt out before or after ordering by emailing darren@roofingtakeoffs.com. We will stop future use and remove affected material from channels we control within a reasonable time, but cannot guarantee removal of unaffiliated third-party copies or shares.
6. Service providers
We use Gmail for communications and Google Drive for business and project-file storage. Google processes information under its applicable agreements and privacy practices.
Dropbox
We use Dropbox to receive, transfer, and store plans and related project materials. Dropbox may collect and process information under its own privacy policy.
Stripe
We use Stripe to process payments, provide hosted checkout, collect applicable contact and business information, and document acceptance of our Terms. Stripe independently processes payment credentials, fraud-prevention information, device information, and other payment-related data. We do not send architectural plans to Stripe to process a payment.
Website hosting and technical providers
Our website-hosting and technical-service providers may process routine server, security, and backup information as necessary to host and protect RoofingTakeoffs.com.
These providers may process information in the United States or other locations where they or their service providers operate.
7. When we disclose information
We may disclose information to necessary business-service providers; to personnel who need it to perform or support the service; to an outside takeoff subcontractor with the client’s prior written authorization; when legally required; when reasonably necessary to protect rights, property, customers, business, or security; in connection with a business transaction subject to appropriate confidentiality protections; or with your direction or consent.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising or targeted advertising.
8. Data retention
Architectural plans and source project files
We ordinarily retain architectural plans and other source project files for two years after completion of the applicable project or our last substantive activity concerning it. We may retain a file longer when reasonably necessary for an active revision, correction, dispute, legal hold, contractual obligation, or legal requirement.
Takeoff deliverables
We retain completed takeoff deliverables indefinitely as part of our permanent business and project records.
Emails and communications
We retain customer emails and related business communications indefinitely.
Payment and order records
We retain payment, order, accounting, acceptance, and transaction records indefinitely.
Backup and system copies
Information deleted from an active system may remain temporarily in routine backups, archives, security records, or disaster-recovery systems until overwritten through ordinary processes. If applicable law requires deletion or a different retention period, we will comply.
9. Marketing communications
We may occasionally send marketing emails concerning Roofing Takeoffs services. We do not send marketing text messages.
You may opt out at any time by following the email’s unsubscribe instructions or emailing darren@roofingtakeoffs.com. We will honor valid requests as required by law. Opting out does not prevent nonpromotional communications concerning a quote, order, payment, revision, correction, legal matter, or existing business relationship.
10. Information security
We use reasonable administrative and technical measures designed to protect information from unauthorized access, loss, misuse, alteration, and disclosure, including limiting access and using established providers for file transfer, communications, storage, and payments.
No method of Internet transmission or electronic storage can be guaranteed completely secure. Avoid sending passwords, complete payment-card information, Social Security numbers, medical information, or other unnecessary sensitive information by email or in project documents.
If you believe information was submitted improperly or that an account or communication was compromised, contact us promptly.
11. Your choices and requests
You may contact us to request correction of inaccurate contact, business, order, or project information. You may also opt out of marketing emails, opt out of future anonymous marketing use of project images, notify us that information was submitted without authorization, or exercise another privacy right provided by applicable law.
We may verify your identity, authority, and relationship to the applicable business or project before acting. We may retain information when reasonably necessary for completed transactions, permanent business records, legal obligations, disputes, security, fraud prevention, or other lawful purposes.
Rights available under a particular privacy law depend on its scope, applicability, and exemptions. Nothing in this Policy limits a right that cannot lawfully be waived. Send privacy requests to darren@roofingtakeoffs.com.
12. Third-party websites and services
RoofingTakeoffs.com contains links to services operated by other companies, including Stripe and Dropbox. This Policy does not govern information that a third party collects for its own purposes. Review the applicable provider’s privacy policy and terms before submitting information.
13. Children’s privacy
Our services are intended for businesses and authorized business representatives who are at least 18 years old. They are not directed to children, and we do not knowingly collect personal information from children. If you believe a child provided personal information to us, contact darren@roofingtakeoffs.com.
14. Geographic scope
Our standard services are intended for U.S.-based business clients and projects located in the United States. Canadian clients and projects require a separate written agreement before payment or work begins. Applicable Canadian privacy requirements will be addressed in that agreement.
15. Changes to this Privacy Policy
We may update this Policy to reflect changes in our services, providers, practices, or legal obligations. The revised version will be posted with a new effective date and applies prospectively unless applicable law requires otherwise. Material changes may also be communicated by email or another appropriate method when legally required.
